Accounts Payable Clerk
Position Summary
The Accounts Payable Clerk will be responsible for high volume, detailed processing of the HOA workflow process to ensure all ledgers, statements, and coding are completed accurately while ensuring payment of vendors and ensuring that the payments are made from the appropriate bank accounts. Must be organized, experienced with bank reconciliations and workflows, and be able to multi-task and
meet daily production requirements.
Position Responsibilities
– Prepare monthly journal entries and reconciliations for HOA and utility general ledger accounts
– Review HOA statements and prepare them for mailing
– Reconcile HOA statements and resolve discrepancies
– Enter vendor invoices into the Accounts Payable system
– Ability to effectively communicate with HOA attorney offices to resolve balances due
– Accumulate and maintain accurate reports and reconciliations
– Perform various account analyses as requested on HOA accounts
– Resolve returned/outstanding checks
– Obtain and update HOA information as needed
– Knowledge, Skill & Abilities
– Real Estate/Property Management experience is a strong plus
– Advanced proficiency in MS Excel

Physical Demands & Work Environment
The position involves prolonged periods of sitting at a desk and working on a computer. This is a local, remote position. Must have a dedicated work area in the home with a desk, and an area for a printer, phone, two monitor screens, and laptop computer. The home must have Cox Internet. The position is full-time Monday through Friday. Office Hours: Monday – Thursday 8:30 am – 5:30 pm; Friday 8:30 am – 12:00 pm (Noon). This is a remote / work-from-home position that requires residency in the Phoenix metropolitan area. In-person meetings are required quarterly or as needed.

Administrative Assistant
Position Summary
We are looking for a detail-oriented individual who is efficient and comfortable working within a team as well as individually in a fast-paced environment. The ability to multi-task under stress while remaining professional and calm is essential in this position. The ideal candidate for this job is resourceful, a good problem solver, and has excellent communication, organizational, grammatical, and time-management skills. The ability to prioritize, multitask, and meet tight deadlines is key to success in this position.
Duties include:
– Professionally answer the phones, and transfer calls to the appropriate manager, compliance specialist, or admin if needed and are unable to assist.
– Provide support to community managers with the proofreading of board packages and financial packages.
– Send an email with the completed PDF board packages to the board members for the communities assigned to you.
– Upload the board and homeowner packages to the portals for the communities assigned to you. Ensure meeting information is included on the community calendar along with a copy of the homeowner agenda.
– Update homeowner, tenant, and 3 rd party contact information for the communities assigned to you.
– Populate new community information onto the Portal, and Dropbox folders with the correct naming convention.
– Assist community managers with various daily tasks for the communities assigned to you.
– Contact vendors with expired insurance monthly and update their profiles in E-Unify.
– Set up new vendors when needed, and enter their information into E-unify. Be sure to vet the vendor’s insurance and licenses, and report deficiencies.
– Process all architectural applications for the communities assigned to you.
– Send a weekly email on Thursday to the committees for all architectural applications for the communities assigned to you.
– Process work orders, and follow up on completion for the communities assigned to you.
– Provide support to community managers by following up with vendors for quotes for the communities assigned to you.

Assistant Community Manager
Position Overview
Primarily responsible for assisting Community Manager(s) by providing effective customer service to designated communities/homeowners through in-depth knowledge of Covenants, Conditions, Restrictions (CC&Rs), and management contracts.
Position Responsibilities:
– Provides administrative support and other tasks as directed by the Community Manager.
– Partners with Thrive’s Management Team to ensure compliance with State and Federal Association Management Laws.
– Develops a working relationship with community board members and various committees.
– Assists with community inspections of common areas according to Thrive’s management contract.
– Communicates with homeowners concerning compliance with CC&Rs.
– Reviews monthly financials and submits community accounts payable.
– Assists in reviewing bid proposals.
– Travels to and from assigned communities per management contract.
– Maintains accurate and current association records and websites.
– Designs brochures, pamphlets, handouts, etc. for communities.
– Attend meetings as needed.
– Maintains open communication with contract vendors.
– Maintains strict adherence to community and company deadlines.

Community Manager
Position Overview
Thrive Community Management is a small but growing community management company with solid core values based on exceeding expectations and making a difference in the lives of people who choose to live in homeowners’ associations. The successful candidate must have at least two (2) years of HOA management experience, demonstrate a high level of professionalism and accountability, and exhibit a proactive approach to the management and future growth of communities.
Duties Include but are not limited to:
– Manage the day-to-day operations of homeowners’ associations.
– Read, review, and have a strong understanding and knowledge of association governing documents, including but not limited to CC&Rs, Bylaws, Rules & Regulations as well as Arizona and federal statutes relating to Associations.
– Solicit and negotiate contracts for Associations and make recommendations to the Board.
– Act as the direct and main point of contact for Association vendors and service professionals.
– Review and analyze monthly financial statements and be able to provide a comprehensive report for the Board of Directors.
– Review, modify, code, and approve invoices every week.
– Prepare, organize, attend, and facilitate all community meetings.
– Prepare annual budgets.
– Create and submit weekly management reports to the Board of Directors.
– Inspect common areas on a routine basis for any maintenance needs or improvements and make the necessary recommendations to the Board.
Requirements and Skills:

Compliance Specialist
Position Summary:
Responsible for conducting routine driving tours/inspections of all lots in each of our East Valley communities in conjunction with the community’s Fine and Violation Policies; processing and completing the mailing for violation notices; working with residents over the phone, in-person meetings, or via email to discuss non-compliance violations; provide reports to the community manager, and provide education to homeowners on their community documents.
Position Responsibilities:
– Responsible for reviewing and having a solid understanding of various association governing documents
– Provide superior customer service while communicating expectations for compliance concerns, and providing education to homeowners and residents
– Provides direct support to the Community Management team to uphold community standards and policies. Collaborates with residents to educate and ensure long-term solutions to infractions.
– Records and tracks compliance issues using the company database and maintains detailed records of non-compliance, as well as investigates reported complaints.
– Prepares and mails all compliance and fine notices
– Process violation letters and charges for each community
– Answer and return homeowner calls to resolve their situation.
– Provides timely reports to Community Manager
– Complete yearly compliance walks with board members to ensure satisfaction in the enforcement of community policies and governing documents
– Collaborates with Attorneys and Community Managers for the escalation of violations
– Provides additional support to team members when needed
Knowledge, Skills & Abilities:
– A disciplined individual with the ability to work independently while carrying out multiple tasks simultaneously.
– Attention to detail and well-organized.
– Establish priorities and meets deadlines in a high-volume, fast-paced environment.
– Use computer programs and databases proficiently including Microsoft Word and Outlook, as well as internet-based software.

Physical Demands & Work Environment:
Position involves driving, sitting, standing, and walking. Must have a reliable (air-conditioned) and insured vehicle to perform inspections of the community. The candidate must also have a current and valid driver’s license, and current vehicle registration and hold a clean driving record. Ability to use a computer and a phone in a home office setting. Ability to use a smartphone while in the field.
